Position Summary:

Under the supervision of the Nobis Enterprises (NE) Supervisor, the NE Assistant Supervisor provides leadership and direction to employees while working alongside the team for administrative support services and mailroom services for the EPA offices in Atlanta, GA. This position will be responsible to assist the NE Supervisor for planning, organizing, directing, controlling and coordinating all services in this Performance Work Statement.

Essential Job Functions and Responsibilities:

  • Assist the NE Supervisor with planning, organizing, directing, controlling and coordinating all services in the statement of work, and serves as the contact point for any questions and concerns expressed by the contracting officer.
  • In conjunction with the NE Supervisor with the coordination of time sheets, accident/injury reports leave requests, and other reports as required by Nobis Enterprises policy.
  • Assist supervise work and ensure that all employees complete their tasks.
  • Maintain inventory of supplies needed to perform all aspects of the job as outlined in the statement of work.
  • Make sure that customer issues are addressed and the management, direction, planning, training and other functions necessary for an effective mail and distribution service operation are performed based on the statement of work.
  • Ensures all employees perform assigned duties to meet all contract requirements, including, but not limited to, mail pick-up, sorting and delivery.
  • Serve as a backup for mail clerk when they are absent.
  • Responsible for ordering monthly supplies and maintaining inventory.
  • Randomly checks amount of postage computed for outgoing mail according to weight and classification for accuracy and cost effectiveness.
  • Responsible that all meeting rooms are configure, monitor, maintain, supply and work with agency personnel to ensure space is set up to meet agency needs.
  • Coordinate with the agency and manage and coordinate room reservation.
  • Attend all Nobis Enterprises functions and supervisor training and meetings.
  • Served as a backup when NE Supervisor is absent.
  • The NE Assistant Supervisor will ensure that security procedures are constantly practiced.
  • The NE Assistant Supervisor will ensure that surveys and logs are completed on a daily and quarterly basis.
  • Prepares reports as requested by the NE Supervisor.
  • Conduct interviews & candidate selection for open positions.
  • Provides feedback to the NE Supervisor on all personnel, performance and/or operational matters.
  • Other duties as assigned.

Qualifications:

  • Must be able to lift and move up to 50 lbs.
  • Must be proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)

  • Must be able to fluently communicate and write in English.
  • Must present a neat appearance.
  • Eligibility to work in the United States.

Education:

  • College Degree or equivalent work experience.

Prior Experience Desirable:

  • Two or more years of experience in an office/mailroom and/or inventory control setting.

  • Demonstrated knowledge of Microsoft Office, Word Excel and PowerPoint applications. Also, Microsoft Outlook and Windows.
  • Working knowledge of telephones, copy and fax machines and mail metering equipment.

Physical Requirements:

  • Have full range of mobility in upper and lower body.
  • Be able to reach overhead.
  • Be able to work in various positions, including, but not limited to, stooping, standing, bending over, sitting, kneeling and squatting for extended periods of time.
  • Be able to handle, lift, pull and push materials and equipment to complete assigned job tasks.
  • Be able to handle mail bags, mail hampers, and packages often weighing up to 50 pounds.
  • Good hand dexterity. Ability to make precisely coordinated movements of the fingers of one or both hands to grasp, manipulate, or assemble small objects.
  • Good eyesight.

Visual Effort:

  • Well-lit office environment requiring average amount of visual effort.
  • Ability to see details at close range (within a few feet).

Safety:

  • Follows all prescribed safety regulations to diminish accidents.
  • Understanding of OSHA safety requirements.
  • Knowledge of evacuation procedures and the whereabouts of exits and fire extinguishers.
  • Immediately report circumstances you consider may present a hazard to yourself and others.
  • Report any accident whether minor or major.

Security

  • Must abide by all security regulations of the facility.
  • Must obtain and wear a photo ID.
