Job Description:

Position Summary:

The Development Campaign Coordinator will be an integral part of Tommy Nobis Center’s campaign and community expansion by serving as the coordination point for all aspects of TNC’s Capital and Major Donor Campaigns. The Campaign Coordinator will assist the Vice President of Development in planning and executing these campaigns and help coordinate their day-to-day operations. Primary responsibilities include assisting the Vice President of Development, CEO, and Campaign Counsel in identifying campaign prospects, developing solicitation strategy memos and reports, executing the day-to-day management of the campaigns, and providing support to campaign leadership and volunteers.

 

Essential Job Functions and Responsibilities:

  • Establish and maintain accurate campaign records including campaign calendars; ongoing prospect evaluations; staff and volunteer assignment, solicitation, and donor engagement tracking; and campaign progress and path to goal reports.
  • Prepare solicitation materials for staff and volunteers (case statements, letters of intent, strategic memos, etc.) and maintain digital or print campaign files as needed.
  • Draft campaign memos, letters, proposals, and talking points for use by staff and volunteers with a high attention to detail to ensure their accuracy.
  • Record incoming pledges and gifts on campaign transmittal and solicitation reports.
  • Arrange committee meetings and other campaign events, including the preparation of meeting agenda and materials prior to calls, recording meeting minutes during committee engagements, confirming attendance, and making food arrangements when necessary.
  • Take an active role in prospect identification and engagement coordination, including researching and compiling prospect data to ensure information accuracy, preparing and distributing strategic documentation to leadership for next steps in prospect engagement, and assisting as needed with logistics in coordinating prospect engagement.
  • Record donations and engagement activities on an ongoing basis in the donor database. Generate donor acknowledgements, including tax documents, thank you letters, pledge reminders, and other communications.
  • Maintain digital and print filing systems for campaigns, including related correspondence, fundraising materials, expense reports, donation receipts, and any other archived records.
  • Compile campaign metrics information (weekly, monthly, quarterly, annually) and will be responsible for weekly updates for VP of Development, CEO, and Campaign Counsel reports.
  • Maintain campaign expense records and monthly budget updates.
  • Keep volunteers and staff informed, including reminding volunteers of meetings/action items and answering volunteer questions as necessary/when appropriate.
  • Participate in preparing materials for major donor and capital campaign prospect /donor stewardship.
  • Serve as a cultural champion for the organization, fostering an environment of trust, alignment, transparency and accountability.
  • Assist with other specific projects as assigned.

 

Education:

 

  • College degree in business administration or related field preferred, or
  • 3 years equivalent knowledge and experience.

  • Knowledge of secretarial, office administrative procedures, and knowledge of use of standard office equipment such as copiers, scanners, fax machine, etc.
  • Position continually requires demonstrated tact and diplomacy.
  • Analytical ability is required in order to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work.
  • Must pass a drug screen and background check.
  • Eligibility to work in the United States.
